Accounting

Accounting is your club's full set of books — a real double-entry accounting system built for nonprofit booster clubs. It tracks every dollar from the moment it's recorded (a payment, a manual deposit, an expense) through to board-ready financial reports and IRS 990-EZ support.

Where to find it: Finance & Events card → Accounting button

Who can use this: Club Admins, and board members granted the Manage Accounting permission. For almost everything in Accounting, a delegated board member has the exact same capabilities as a Club Admin. Three specific actions are more restricted — see Permissions in Accounting below.

Note: BoosterConsensus never hard-deletes anything with financial history. "Delete" on a revenue entry, expense, opening balance, or journal adjustment always voids it instead — the entry disappears from your active totals but stays in the audit trail permanently.

Where to start

First-time setup, in order:

  1. Setup — Initialize your Chart of Accounts
  2. Setup — Add your bank account(s) and opening balances
  3. Setup — Set your Escrow / Held-Funds default (only relevant if you run trips/events with refundable money)
  4. Start recording Revenue and Expenses as they happen
  5. Run Reconciliation monthly against your bank statement

Permissions in Accounting

Everything in Accounting — recording revenue/expenses, editing the chart of accounts, reconciling, running reports, archiving governance packets, and even confirming a year-end close — works identically whether you're a Club Admin or a board member with the delegated Manage Accounting permission. Three specific actions are more restricted:

  1. Reopening a closed fiscal year — only a Club Admin or Zeus platform admin can do this. A delegated board member will see the Reopen form in the Close Year wizard but gets an error if they submit it.
  2. Locking or unlocking the budget — requires being a Club Admin, or a board member whose board role (not delegated permission) is President or Treasurer. See Budgets.
  3. Confirming/finalizing a year-end close is open to any delegated Manage Accounting holder — only Reopen is restricted.
